Position: Scholarship Secretary
Place of Assignment: Guidance Unit
Status of Employment: Service Contract
Monthly salary: Php 13,000.00
Qualification Standards:
– Must be a graduate of any Bachelor’s Degree
– Civil Service Eligibility is an advantage, but not required
Preferred Competencies:
– Good communication skills both in oral and written
– Computer literate
– Dynamic, proactive, flexible and able to work under pressure
Duties and responsibilities:
1. Scholarship Promotion and Outreach:
Assist in developing and implementing strategies to promote scholarships to students (e.g., creating flyers, social media posts, presentations).
Maintain and update a comprehensive scholarship database with details on eligibility criteria, deadlines, and application procedures.
Coordinate scholarship workshops and information sessions for students.
Develop and distribute scholarship newsletters or announcements.
2. Application Management and Processing:
Manage the scholarship application process, including setting up online application systems or processing paper applications.
Review applications for completeness and eligibility.
Maintain detailed records of all scholarship applications and awards.
Communicate effectively with students regarding application status and deadlines.
Liaise with scholarship donors or committees as needed.
3. Scholarship Award and Recognition:
Assist in the selection of scholarship recipients according to established criteria.
Prepare award letters
Organize scholarship award ceremonies or receptions (if applicable).
Maintain communication with scholarship recipients and track their progress
4. Record-Keeping and Reporting
Maintain accurate and up-to-date records of all scholarship applications, awards, and recipient information.
Prepare reports on scholarship activity for the scholarship committee and other relevant stakeholders.
Ensure compliance with data privacy regulations when handling student information.
Archive scholarship documents according to established procedures.
Perform other duties as assigned by the Scholarship Office Head.

Duties and responsibilities:
– Secures and compiles of new enrollees’ Personal Data Sheets.
– Compiles all documents and records of midshipmen/women according to their batch.
– Prepares and reproduces of the Unit controlled forms.
– Maintains confidential files and office records.
– Transmits and follows-up on orders and requests of the Unit.
– Prepares materials and assists in Unit-conducted and participated activities.
– Prepares documents and materials for counseling and resignation for the Probationary period.
– Assists in the processing of documentary requirements of the midshipmen/women.
– Generates statistical data and reports on surveys for the Unit, Unit’s seminars and GAD seminars.
– Class Profiling.
– Files of the abovementioned records.
– Answers incoming calls.
– Performs other related duties as may be directed by the Head of the Unit.
