  2. Carry out the following tasks in relation to Registration and Resignation of Probationary Midshipmen/Women 
    1. Assist during registration of probationary midshipmen, shall assigned a control number and then receive, verify and account the documents received. He/she is responsible for checking, evaluation and verification of submitted documents which include “PMMA Admission Flow Sheet” issued by the Board of Admission and other documents presented and receive such as Birth Certificate, Filed out Checklist for Probationary Midshipmen, 2×2 pictures, Student Data File Prooflist, School Records and Notice for Lacking Documents (optional) 
    2. Prepare RIS for number of stamps in mailing notices to be sent out to schools and parents/guardians, etc. (additional) 
    3. Assist during resignation of probationary midshipmen, the staff shall receive a copy of approved resignation. Using the resignee’s control no. to locate his/her documents, shall pull out the submitted documents such as the Birth Certificate, 2×2 pictures, and school credentials and turn-over these to the resignee. (additional) 
    4. Records meetings conducted at the Office and ensure Minutes of the Meeting reports are prepared in a timely manner 
    5. Prepare a report list of Obsolete files and ensure proper turn-over and disposal of non-current/valueless records by filling out PMMA-REC-004 and submit this to the Records Unit for safekeeping/or proper disposal 
    6. Turn-over of unserviceable office equipment, materials and or by filling out the Supply’s Form “Receipt of Returned Semi-Expendable Property”. 
    7. Update/Revise PMMA- Registrar forms as may be required by the Registrar Head including the procedures wherein the form is required as documented evidence 
    8. Assist in monitoring and coordinating emails, and other related requests coming from students, graduates and other requestors and ensure these are coordinated to concern personnel while status are monitored; 
    9. Request office supplies, materials, equipment and repair services needed for the Registrar Office.
